Jefferson Academy PTO Meeting Minutes
Thursday, January 11th , 2018 7:10-8:00pm Those in attendance were: Erin Taylor, Elizabeth Hill, Robin Trent, Sydney Bowman, Robert Moses, Shantell Moses, Alivia Burgess, Beth Thomas, Rebekah Grow, Connie Delanni, Britney Johnson Welcome: Erin Taylor, PTO President Fundraising: Cherame resigned as the Fundraiser Chair due to pregnancy complications. We wish her the best of luck with her health and baby and wish to thank her for her help! We are going to need either a Fun Run Chair, or have everyone just pitch in and help with the fun run. This is our main event fundraiser and we are in need of help for it. We need 3 committees for the fun run: We need a committee to be in charge of decorations, a committee to head up prize distribution, and a committee for helping out the day of the run. If you can help with the fun run in any way, please let Erin know. This is a top PTO priority. There are teacher trainings that are supposed to take place sometime soon as well. Cherame needs to contact Erin to let her know what is supposed to happen soon. Thanks. RSL Camps- Scheduled for July 30 th -August 2 nd . Robin mentioned that it could maybe be a combined event for mulitiple cities rather than just Jefferson Academy and surrounding Kaysville residents. Robin is going to look into the option of having a bigger event at a Layton Park for the main venue. If not, Jefferson Academy field is already reserved and things are set to move forward on the dates listed above. Open Positions for 2018-2019 School Year:
If you are a committee chair of something else that is not listed here and do not plan on coming back next year, you need to let Elizabeth Hill know asap. Ecebrowski@gmail.com What is your job description? You need to type it up and email it to Elizabeth Hill. Ecebrowski@gmail.com . Many people have said they wrote one up and turned it in last year. We need an electronic copy to have on file to keep for forever so that people don’t have to keep making this. All the paper ones are lost and there are no records of them! Please write down your job description. Pretend you were going to suddenly disappear and someone would have to step into your shoes without being able to talk to you about what it is you currently do in your position. Write down instructions and a job description, please. Please email it to Elizabeth before the next PTO meeting on February 8 th , 2018. This needs to be emailed to Elizabeth Hill by February 8 th . Elizabeth will be collecting them. Or, email Elizabeth at Ecebrowski@gmail.com . This information will be saved electronically as well as physically and a notebook will be available in the PTO closet to see. This information will be passed down from Secretary to Secretary from now on. If you know you will be leaving the PTO, please try hard to find your own replacement. Start training someone responsible if you are able to. If not, just make sure to leave very detailed instructions. College and Career Week: Connie has done an outstanding job planning for this. We are very lucky and privileged to have Connie as the Chair. The agenda and outline are flawless. If you find yours, label it clearly so we know who to return it to and email Connie to know when and where to bring it. For Wednesday, January 24 th , there will be parent speakers for each class. Are there others in the PTO group that would like to sign up? You would be speaking for a short amount of time concerning your occupation. Please contact Connie if you can help. Connie has stayed under budget! She is amazing and a great example to us all! Teacher Appreciation-meals are being taken care of by our fabulous Teacher Appreciation committee. Literacy- The book fair is February 12-15th . Will there be another Grand event in February? If so, there are people who want to make food for the grandparents so that they grandparents don’t have to go buy fast food and bring it to the event. PTO Closet: The popcorn machine is gone forever. It was not cleaned after its last use and was put away in the closet where mice took it over. There was no humanly possible way to get all the mouse feces and hair out of the machine. Erin and Elizabeth re-cleaned and organized the room. New Rule: Absolutely NO FOOD allowed in there anymore. It invites undesired critters. If you have leftover food or snacks from an event, try to return them or do service for neighbors in need and donate it to their porch with a nice note. The Catholic Community Services in Ogden is Utah’s 2 nd largest food bank that most people don’t even know exist. They always need food donations of any kind (not open or partially used food). You can even donate your extra produce from your garden each year. You can always call them and ask when a good time would be to go drop off whatever you have left.
