PTO Meeting 11/16/17

Those in attendance were: Erin Taylor, Elizabeth Hill, Cherame Lindley, Robin Trent, Shantell
Moses, Sydney Bowman, Alivia Burgess, Kristina Harris, Britney Johnson

Welcome: Erin Taylor, PTO President

Event Recaps: After each event, please compose a quick event recap. What went well? What
didn’t? What would be helpful in the future? If you suddenly left and someone else had to pick
up where you left off, what would he or she need to know? Give those recaps to either Erin or
Elizabeth Hill.

Teacher Appreciation: The teachers have given feedback and believe the dinners were
amazing! The Teacher Appreciation committee has been outstanding.
We are looking into making door stoppers as Christmas Gifts. There are several people who
have fabric and elastic to help make them for way under cost.

Open Positions for 2017-2018
  • President Elect: Due to insurance and policy, the current PTO President will remain President for the rest of this 2017-2018 calendar year and also next 2018-2019 year. Someone can shadow the President (Erin) for the remainder of this year and be voted in as President Elect in April 2018 for the following 2018-2019 year. Sydney Bowman is interested and will shadow Erin to see if President Elect will be a good fit or something she is interested in for the vote in April.
  • Field Day Chair- We have had someone come forward to be the field day chair. There will be more to come on this in the future. We will all support her and help her out in any way we can.

Veterans Day ReCap:
Shantell Moses and her committee did an outstanding job! This was one
for the books and there have been nothing but compliments. It will probably go down in history
as the best celebration yet.

Playground Update: The 114’x51’ by 12” deep pit will be dug on June 1st . The 2nd Phase of the
playground will be installed on June 4th . The 216 cubic yards of woodchips will be delivered from
Tri-City Nursery on June 8th . *The price for the woodchips was updated after the meeting and
will cost $6,100, down from the $8,700 originally quoted. Elizabeth Hill has someone working
on a grant to pay for the woodchips. She will keep you updated in the future about this. We
absolutely need a company to dig the pit and haul away the dirt. Bids are being gathered for that right now. The cost of the 2nd phase structures will be around $25,000, so we need to make
as much money as possible from the Fun Run.

Literacy: 
Dad’s and Doughnuts went well, but we ran out of donuts. Maybe next year we will use
a raffle ticket or a hand stamp to keep track of who has had one and who has not.
Book Fair- We made a good amount of money and it was a success. We look forward to
seeing what our total will be after the next one. One suggestion is to have volunteers make
food for the Grand Lunch where kids bring their Grand Parents to lunch during the book fair.
Many people brought fast food and it would have been better to offer them something instead
of having them go buy their own food.

Author Assembly- plans are being made to have an author come for free under the
condition we advertise and do pre sales of her book.

Fundraising: Pay to wear PJs is coming up on the 21 st . There will also be some training that has
to be done for the booster fun run for teachers and other volunteers.

PTO and Volunteer Incentives: It has been a challenge to get volunteers. It could be because it
is still the first part of the year and many people don’t care about getting their hours in until the
later part of the year. We are thinking of ideas for how to reward people who have volunteered
a certain amount of hours by a certain date. We also need to remind people that events only
work with volunteers. If we don’t have volunteers, we will have no choice to cancel the event.
The PTO board members have stepped in and saved the day countless of times, but it is so hard
to have to do that each time. Also, if people join the PTO and become a chair over an event,
their families should not have to pay for PTO fundraising events, such as the carnival. They
should be able to buy things for cost (like shirts and sweatshirts) rather than the normal price.
Why should PTO board members have to pay for the very events they are trying to raise money
for? We will probably make this permanent in the future.

Box Tops: There are still box tops and containers in the copy room over by the PTO section that
have not been counted.

PTO Closet: Elizabeth Hill worked long and hard to clean and organize that closet this summer.
It’s getting cluttered and trashed again. Please make sure you clean up after your event. Set
aside some time a day or so after your event to go in and make sure everything is packed away
nicely for next time. Throw away trash. Recycle paper stuff that you don’t need. If you need a
bin, look for an empty one or go buy one and submit your receipt to Liz. Label it. Absolutely NO
FOOD can be in that room without being stored properly. This also includes decorative items that have colored rice or pasta. It must be in a sealed bin. The popcorn machine must be thoroughly cleaned after each use and cannot be put back into the PTO closet until it is spotless.
